3 Information We Collect

We only collect personal information that is necessary for the purpose for which it is being collected. This may include:

  • Contact details — your full name, email address, and telephone number when you submit our contact form or reach out to us directly.
  • Project information — details about the nature of your enquiry, the type of project you are considering, and any relevant context you choose to share.
  • Communication records — emails, written correspondence, or notes from telephone conversations related to your enquiry or project.
  • Website usage data — basic, non-identifiable information about how visitors interact with our website (see the Cookies section below).

We do not collect sensitive personal information (such as identity numbers, financial records, or health information) through our website. If such information becomes necessary during a project engagement, it will be requested separately and handled with the highest level of care.

4 How We Use Your Information

Personal information collected through this website or through direct communication is used solely for legitimate business purposes, including:

  • Responding to your enquiry or request for a quotation.
  • Providing architectural design and construction services you have engaged us for.
  • Communicating project updates, timelines, and related matters.
  • Sending administrative correspondence relevant to an active engagement.
  • Complying with legal or regulatory obligations applicable to our industry.

We will not use your personal information for unsolicited marketing, and we will not contact you for purposes unrelated to your original enquiry without your prior consent.

5 Legal Basis for Processing

Under POPIA, we are required to have a lawful basis for processing your personal information. We rely on the following grounds:

  • Consent — when you submit our contact form, you are voluntarily providing your details and consenting to us using them to respond to your enquiry.
  • Contractual necessity — where we have entered into a service agreement with you, processing your information is necessary to fulfil our obligations under that agreement.
  • Legitimate interest — we may process your information where it is in our legitimate business interest to do so, provided that interest does not override your rights.
  • Legal obligation — we may be required to process and retain certain information to comply with applicable laws and regulations.

6 Sharing of Information

DTU Group does not sell, rent, or trade your personal information to any third party. We do not share your information with external parties for marketing purposes.

Your information may be shared only in the following limited circumstances:

  • Service delivery — with trusted sub-contractors or specialists engaged specifically to assist with your project, and only to the extent necessary for that purpose. All such parties are required to handle your information with the same level of care as we do.
  • Legal compliance — where we are required to disclose information by law, court order, or a competent regulatory authority.
  • Form submission processing — our contact form uses FormSubmit, a third-party service that securely routes form submissions to our email. FormSubmit processes submissions in transit only and does not retain your data. You can review their practices at formsubmit.co.

7 Storage & Security

We take reasonable and appropriate technical and organisational measures to protect your personal information against unauthorised access, loss, disclosure, alteration, or destruction.

Information submitted through our contact form is delivered directly to our secure business email. Project-related records are stored on password-protected systems accessible only to authorised personnel within DTU Group.

While we take every reasonable precaution, no method of electronic transmission or storage is completely secure. We encourage you to exercise caution when sharing sensitive information online.

8 Retention of Information

We retain personal information only for as long as is necessary to fulfil the purpose for which it was collected, or as required by law.

  • Enquiries that do not proceed to a project — information is retained for a reasonable period to allow for follow-up, after which it is securely deleted.
  • Active project records — retained for the duration of the project and for a reasonable period thereafter, in line with industry and legal requirements.
  • Completed project records — retained for up to seven (7) years after project completion, as may be required for warranty, liability, or regulatory purposes.

Once information is no longer required, it is securely disposed of or anonymised.

9 Your Rights Under POPIA

As a data subject under POPIA, you have the following rights regarding your personal information:

Right to Access Request a record of the personal information we hold about you.
Right to Correction Request that inaccurate or outdated information about you be corrected.
Right to Deletion Request the deletion of your personal information where it is no longer necessary for us to retain it.
